Booking Terms & Conditions

These Booking Terms & Conditions apply to all bookings made for trips listed on our website www.shesuthman.com and We Travel Pages. An agreement on the terms set out in these booking terms and conditions will come into effect as soon as we issue a confirmation receipt after your first deposit (1) and/ or receipt of the full payment of your trip balance (2).

UNDERSTANDING YOUR CONTRACT

Please read these Booking Terms & Conditions carefully. Ensure you understand

and agree with the terms therein before any booking is made.

PRICE & TRIP ARRANGEMENTS

All prices quoted are subject to availability on slots open for each trip. Please note that prices are per person and inclusive of taxes in each travel destination unless otherwise indicated.

ACCOMMODATION

Accommodation is based on double occupancy (shared rooms); twin beds or shared double beds, unless otherwise indicated. If you require single occupancy, please ensure you make payment inclusive of single room supplement quoted. Kindly note that single occupancy rooms are subject to availability.

ROOM PAIRINGS

By default, friends or family who book trips together are paired as roommates. If you are booking alone or traveling solo and have a specific preference for roommate, ensure you indicate under your “Notes to Organizer” response, or we’ll try our best to match you with a personality fit for the best travel experience for you. Not to worry, over 90% of our travelers come as solo travelers and walk away with life-time travel buddies, so you will in no doubt be in good company! Our group chats also present a great avenue to get to know your travel buddies ahead of the trips.

TRANSPORTATION

Ground transportation is provided as part of our group travel itineraries. Kindly note that this strictly includes transfers within the travel itinerary [i.e. tour dates] and airport transfers [details on transfer times are shared in the individual trip document]. Transportation for optional activities, add-ons & activities outside of the travel itinerary are not included, thus will be borne by individual travelers or group of travelers, where necessary.

SLOT CONFIRMATION, PAYMENT OPTIONS & PAYMENT PLANS

Bookings are strictly on first come, first served basis. Bookings are only confirmed with payments. A payment of USD 300 is required to confirm slots for package-only trips.

We accept payments in USD and primarily through card payments, bank deposits and bank transfers via We Travel. For wire transfers, bank details can be shared with travelers at the point of confirmation. In the event that a traveler opts for payment in GHS, please liaise with us for the prevailing forex rate (effective on the day of payment) to be communicated and used accordingly.

Payment plans are available and accepted for all trips advertised. Timelines for installment payments are outlined on the We Travel booking pages. Please ensure you meet the timelines attached to payment installments for a smooth travel experience.

LATE PAYMENT

We understand that life can get in the way, as such periodic reminders will be sent to you prior payment due dates. We are more than willing to grant a payment extension in the event that a traveler needs one.

All we ask is that you communicate with us before the payment date is due. If payment delays for an additional week (7 days), a late payment fee of $10 will be added to the balance. In the event that a payment tranche is not received in more than 14 days (and with no official communication with us), the traveler will forfeit the spot on the trip and payments made towards the trip will be wholly forfeited.

CANCELLATION POLICY

You may cancel your travel arrangement/ booking at any time before the trip commences. However, please note that you may lose part or all of the monies paid towards the trip. The cancellation fees will be determined by the type of booking, terms and timelines indicated below:

a. All confirmation payments have a 24hr booking window for change.

b. There will be no refund of slot confirmation deposit after 24hrs

c. In addition to confirmation deposit, the following percentages will be forfeited

i. Three (3) months to travel date: 50%

ii. Two (2) months to travel date: 75%

iii. One (1) months to travel date: Full booking value

REFUND POLICY

Packages are non-refundable. Under no circumstance will refunds be made for payments towards packages enlisted 24hrs post-confirmation.

i. For processing of refunds, all bank processing charges will be borne by the traveler

ii. In the event of cancellation, you can find another traveler to replace your spot on the same trip. Your payment will be transferred to the new traveler and top-up done, where necessary.

iii. In the event that you are unable to find a replacement, your deposit can be transferred to another trip within the same calendar year.

iv. In the unlikely event that we cancel a trip for any reason, there will be options to transfer the payment to a trip within the calendar year or receive a full refund of payment made.

TRAVEL INSURANCE

For all travelers who share travel experiences with us, we encourage you to have appropriate travel insurance in place for your vacation. Your travel insurance must cover, but not be limited to trip cancellation and interruptions, medical cover, personal accidents, luggage cover, repatriation, injury, death and emergency evacuation.

Kindly ensure that your travel insurance policy covers the full duration of your trip, and you must carry proof of insurance with you on the trip.

PHOTOS & MARKETING

Upon booking a trip with us, you consent to using images of you taken by us during the trip for advertising and promotional purposes. This grants us a perpetual, royalty-free license to use such images for promotional and commercial purposes. As standard practice and a show of good measure, we will make sure to share with you all images & videos from the trip for your approval before they are shared or used publicly.

LEGAL DOCUMENTS

In addition to these terms and conditions, a Travel Service Agreement and Indemnity Agreement will be shared with you for completion prior to each trip’s commencement.
